50 an hour 1 day ago 1 day ago 1 day ago GENERAL FUNCTION The Special Supplemental Nutrition Program for Women, Infants and Children (WIC) intake team members serve as the initial point of contact for the Well Child Center WIC operations.
The WIC Lead Intake - Front Office Assistant is responsible for many of the same duties that all intake staff are involved in, such as answering phones and greeting clients and other visitors, however the position entails a higher level of responsibility and accountability.
Key responsibilities include prescreening clients and verifying WIC eligibility, electronically completing client intake information on WIC portal, scheduling appointments for clients, comprehensively explaining program services and clients' rights and responsibilities, and training and mentoring other WIC intake - front office assistant staff.
DUTIES AND RESPONSIBILITIES Lead Coordinate with the Lead Nutritionists on items pertaining to the intake responsibilities at all the WCC WIC sites.
Assist with training newly hired intake - front office assistants.
Support intake staff at assigned and other sites with implementation of program activities and tasks.
Assist in translating WIC outreach and nutrition education materials developed by WCC.
Review the daily I-WIC schedule(s) at all WCC WIC sites for accuracy of appointment types and duration of appointments, as well as seamless operation of clinic services.
Review and resolve weekly Dual Enrollments for all WCC WIC sites.
Run weekly reports as assigned by the WIC Manager to maximize participant recruitment and retention and integrity of the WIC program.
Comply with all federal, state, and WCC WIC policies, procedures, and regulations.
Perform miscellaneous responsibilities as directed by the WIC Manager.
Intake - Front Office Assistant Perform various clerical procedures including answering phone and returning calls, maintaining WIC records, processing clients, and data entry.
Determine eligibility for WIC services by screening clients for program requirements according to guidelines.
Ensure client signatures are obtained for all appropriate forms.
Complete intake sections within the WIC portal including participant search, precertification screen, household information and participant information.
Collect referral anthropometric data or complete weight and height/length measurements for participants per the Centers for Disease Control (CDC) guidelines.
Collect referral biochemical (hemoglobin) data or collect biochemical (hemoglobin) value via a finger stick procedure for participants.
Re-schedule missed or incomplete appointments from the previous day.
Run WIC portal reports as assigned by the WIC Manager to maximize participant recruitment and retention.
Check voicemail messages and return calls.
Ensure program integrity by identifying and resolving dual enrollments.
Ensure all documents are obtained from clients as listed within the Illinois WIC Policy and Procedure Manual when processing them for certification (eg, Verification of Certification, identification, income, residency).
Attend outreach events in the community as assigned by the WIC Manager.
Set up/clean laboratory; including calibrating and cleaning point-of-care hematology test machine, as needed.
Interpret for clients during counseling/education appointments.
Ensure National Voter Registration Requirements are met.
Organize and stock supplies for intake office and laboratory.
Other duties as assigned.
SUPERVISORY RELATIONSHIP Reports to:
WIC Manager REQUIREMENTS AND QUALIFICATIONS High School Diploma or GED.
1 year of work experience.
Basic computer knowledge and data entry skills.
Ability to maintain and keep records.
Ability to work on weekends and overtime, if necessary.
Reliable transportation, able to commute to multiple WCC sites in Kane County.
Bilingual (English/Spanish) required.
